Role-Based Process Mapping and Work Tracking
1. Acceptance of Terms
By accessing or using Starfire Innovations, LLC's Role-Based Process Mapping and Work Tracking application and related services ("Services"), you agree to these Terms of Service ("Terms"). If you do not agree to these Terms, you may not access or use the Services.
These Terms apply to all users of the Services, including individuals who create an account, request access, upload content, use the process discovery chat, generate guides, create work items, or otherwise interact with the application.
2. Services Provided
Starfire Innovations, LLC provides a subscription-based application designed to help organizations document role-based operational processes and track related work. The Services may include role and business-area setup, process discovery chat, document and image attachments, process review, approved process libraries, work queues, and generated operating guides in formats such as DOCX and PDF.
The Services are intended to support process capture, documentation, and work tracking. They are not a substitute for professional judgment, legal advice, compliance review, safety review, employment guidance, financial advice, or operational decision-making by qualified personnel.
3. Eligibility
You must be at least 18 years old and reside in the United States to use the Services. By using the Services, you confirm that you meet these eligibility requirements and that you have authority to use the Services on behalf of yourself or the organization for which you are using the Services.
If you use the Services on behalf of an organization, you represent that you are authorized to provide information, upload materials, create documentation, and manage work-related content for that organization.
4. Account Access and Approval
The Services may require account creation, identity verification, and approval before access is granted. Starfire Innovations, LLC may approve, deny, suspend, revoke, or limit access at its discretion, including for security, billing, abuse prevention, or operational reasons.
You are responsible for maintaining the confidentiality of your login credentials and for all activity that occurs under your account. You must promptly notify Starfire Innovations, LLC if you believe your account has been compromised or used without authorization.
5. Subscription and Billing
Subscription Terms: The Services may be offered on a subscription basis, including plans that combine application access with an AI usage allowance. By subscribing, you agree to pay the subscription fees shown during signup or checkout.
Payment: Payment must be made in advance for each billing period. By providing payment information, you authorize Starfire Innovations, LLC and its payment processor to charge the applicable fees to your designated payment method.
Renewal: Subscriptions may automatically renew at the end of each billing period unless you cancel before the renewal date.
Single-User Access: Unless otherwise agreed in writing, each subscription is licensed for use by a single individual and may not be shared, resold, distributed, or accessed by multiple users.
AI Usage Allowances: Some subscription plans may include an estimated or capped allowance for AI-related usage. Usage estimates are not guaranteed and may vary based on conversation length, attachments, model behavior, file size, and other factors. Starfire Innovations, LLC may apply usage limits, throttle requests, or require plan changes if usage exceeds applicable limits.
Promotions and Discounts: Promotional codes, discounts, coupons, trials, or other offers may be made available at Starfire Innovations, LLC's discretion. Discounts affect billing only and do not necessarily increase AI usage allowances, features, service levels, or access rights unless expressly stated.
6. Cancellation and Termination
Cancellation: You may cancel your subscription by using available account tools or by contacting Starfire Innovations, LLC. Unless otherwise stated, cancellation will take effect at the end of the current billing period, and no refunds will be issued for unused time.
Termination by Starfire Innovations, LLC: We may suspend or terminate your access to the Services at any time if you violate these Terms, fail to pay required fees, misuse the Services, create security risk, upload unlawful or harmful content, or engage in fraudulent, abusive, or unlawful activity.
Effect of Termination: After cancellation, suspension, or termination, you may lose access to your account, uploaded materials, generated process records, guides, work items, and other content. Starfire Innovations, LLC may retain or delete data in accordance with its policies, legal obligations, security needs, and operational requirements.
7. Refund and Dispute Policy
Starfire Innovations, LLC does not offer refunds for subscription fees once charged, except where required by law or expressly agreed in writing. If you believe there has been a billing error, please contact Starfire Innovations, LLC, and we will make reasonable efforts to review and resolve the issue.
8. Use of Services
License: Starfire Innovations, LLC grants you a limited, non-exclusive, non-transferable, revocable license to access and use the Services for your personal or internal business use, subject to these Terms.
Restrictions: You may not:
Use the Services for unlawful, harmful, abusive, deceptive, or unauthorized purposes.
Upload materials that you do not have the right to use, process, or share.
Upload highly sensitive, regulated, classified, or confidential information unless you have determined that doing so is appropriate and authorized for your organization.
Use the Services to create instructions for unlawful, unsafe, discriminatory, or harmful activity.
Attempt to bypass authentication, access controls, billing controls, usage limits, security protections, or rate limits.
Share your account with another person.
Scrape, crawl, extract, or bulk-download data from the Services without written permission.
Reverse-engineer, decompile, copy, modify, or attempt to extract the source code, models, prompts, infrastructure, or underlying systems of the Services.
Interfere with, disrupt, overload, or attempt to gain unauthorized access to the Services or related systems.
9. User Content and Uploaded Materials
"User Content" means information, text, chat messages, documents, images, files, notes, role descriptions, process descriptions, work item details, and other materials that you submit, upload, enter, or provide through the Services.
You are responsible for your User Content and for ensuring that you have the right to submit it to the Services. You retain ownership of your User Content, subject to the rights granted in these Terms.
You grant Starfire Innovations, LLC a limited license to host, store, process, transmit, display, reproduce, transform, and use your User Content as necessary to provide, maintain, secure, troubleshoot, and improve the Services.
Uploaded files and chat messages may be processed by third-party service providers, including OpenAI, Google Cloud Platform, Firebase, Stripe, and related infrastructure or service providers used to operate the Services.
10. OpenAI and AI Processing Disclosure
The Services use OpenAI systems to support process discovery, chat-based process mapping, process drafting, guide creation, summarization, and related AI-assisted functionality.
When you use AI-enabled features, the information you enter into the chat, along with relevant context from your session, process drafts, role information, uploaded attachments, extracted file content, and related system instructions, may be sent to OpenAI's servers for processing.
You should assume that chat messages, attachment content, and other context used by AI features will be transmitted to and processed by OpenAI. Do not submit information to the Services unless you are authorized and comfortable having that information processed by OpenAI and other service providers involved in operating the application.
Starfire Innovations, LLC does not control OpenAI's systems, security, uptime, data handling practices, model behavior, or service availability. To the maximum extent permitted by law, Starfire Innovations, LLC is not responsible or liable for OpenAI service outages, errors, delays, model output quality, data processing issues, unauthorized access, data breaches, security incidents, or other acts or omissions by OpenAI or other third-party providers.
AI-generated outputs may be incomplete, inaccurate, outdated, inconsistent, or unsuitable for your situation. You are responsible for reviewing, editing, validating, and approving all AI-generated process steps, guides, work items, summaries, recommendations, and other outputs before using or sharing them.
11. Generated Outputs
The Services may generate process drafts, checklists, operating guides, work item descriptions, summaries, suggestions, and other outputs based on User Content and AI processing.
Generated outputs are provided for convenience and drafting support only. They may contain errors, omissions, hallucinations, or misunderstandings. You must independently review and confirm generated outputs before relying on them for operations, training, compliance, safety, employment matters, customer commitments, or business decisions.
Starfire Innovations, LLC does not warrant that generated outputs are accurate, complete, current, compliant, secure, safe, or appropriate for any particular use.
12. Confidentiality and Sensitive Information
The Services are intended for ordinary business process documentation and work tracking. They are not designed for classified information, protected health information, payment card data, government secrets, trade secrets requiring special handling, attorney-client privileged materials, or other highly sensitive or regulated data unless Starfire Innovations, LLC has expressly agreed in writing to support that use case.
You are responsible for deciding what information is appropriate to enter or upload. Starfire Innovations, LLC is not responsible for consequences arising from your decision to submit confidential, sensitive, regulated, or unauthorized information to the Services.
13. Third-Party Services
The Services rely on third-party platforms and providers, which may include OpenAI, Google Cloud Platform, Firebase, Stripe, domain providers, email providers, and other vendors.
Your use of the Services may be affected by the terms, policies, availability, security posture, and technical behavior of those third-party services. Starfire Innovations, LLC does not guarantee uninterrupted access to third-party services and is not responsible for third-party failures, downtime, data loss, billing errors, security incidents, API changes, policy changes, or service discontinuation.
14. Service Availability and Changes
Starfire Innovations, LLC may modify, suspend, limit, discontinue, or replace any part of the Services at any time. Features may be experimental, beta, incomplete, or subject to change.
We do not guarantee that the Services will be uninterrupted, error-free, secure, or available at all times. We may perform maintenance, updates, security changes, billing changes, or infrastructure changes that affect availability or functionality.
15. Data Retention and Deletion
Starfire Innovations, LLC may retain User Content, account records, billing records, access records, logs, uploaded materials, generated outputs, and related metadata as needed to provide the Services, comply with legal obligations, resolve disputes, prevent abuse, enforce these Terms, and maintain security.
Data deletion may not be immediate, complete, or technically possible in every backup, log, archive, third-party system, or derived record. If you need data deleted, contact Starfire Innovations, LLC, and we will make reasonable efforts to respond in accordance with applicable law and operational constraints.
16. Intellectual Property
The Services, including application design, software, code, prompts, interfaces, workflows, documentation, templates, branding, logos, and related materials, are owned by Starfire Innovations, LLC or its licensors and are protected by intellectual property laws.
Except for the limited license granted in these Terms, no rights are transferred to you. You may not copy, modify, distribute, sell, sublicense, or create derivative works from the Services without written permission.
17. No Professional Advice
The Services do not provide legal, financial, tax, HR, safety, compliance, operational, or professional advice. Any outputs produced by the Services are informational and draft-oriented only. You are responsible for obtaining appropriate professional review before relying on outputs in areas that require specialized expertise.
18. Limitation of Liability
To the maximum extent permitted by law, Starfire Innovations, LLC and its affiliates, officers, employees, contractors, and agents shall not be liable for any indirect, incidental, special, consequential, exemplary, or punitive damages, including lost profits, lost revenue, lost business opportunities, loss of goodwill, loss of data, business interruption, security incidents, or damages arising from your use of or inability to use the Services.
To the maximum extent permitted by law, Starfire Innovations, LLC's total liability for any claim arising out of or relating to the Services or these Terms shall not exceed the amount you paid to Starfire Innovations, LLC for the Services during the three months preceding the event giving rise to the claim, or one hundred dollars ($100), whichever is greater.
19. Disclaimer of Warranties
The Services are provided "as is" and "as available." To the maximum extent permitted by law, Starfire Innovations, LLC disclaims all warranties, express or implied, including warranties of merchantability, fitness for a particular purpose, title, non-infringement, accuracy, availability, security, and reliability.
Starfire Innovations, LLC does not warrant that the Services, third-party services, AI outputs, generated guides, uploaded file processing, billing systems, authentication systems, or data storage systems will be accurate, uninterrupted, secure, timely, complete, or error-free.
20. Indemnification
You agree to indemnify, defend, and hold harmless Starfire Innovations, LLC and its affiliates, officers, employees, contractors, and agents from and against any claims, damages, losses, liabilities, costs, and expenses, including reasonable attorneys' fees, arising out of or related to your use of the Services, User Content, uploaded materials, violation of these Terms, violation of law, infringement of another party's rights, misuse of AI-generated outputs, or unauthorized submission of confidential or sensitive information.
21. Modification of Terms
Starfire Innovations, LLC may update these Terms at any time. We may notify users of significant changes by email, in-app notice, website posting, or other reasonable means. Continued use of the Services after updated Terms become effective constitutes acceptance of the updated Terms.
22. Governing Law
These Terms are governed by the laws of the State of Colorado, without regard to conflict-of-law principles. Any disputes arising out of or relating to these Terms or the Services shall be resolved exclusively in the state or federal courts located in Denver County, Colorado, unless otherwise required by applicable law.
